RACI Matrix Tool User Guide
I wrote this tool to support my MBA project which was based on education and school leadership. It is versatile enough to be used for any project in or out of education.

What is a RACI Matrix?
A RACI matrix (a responsibility assignment matrix) is a simple yet powerful tool used in project management and process improvement. It helps clarify roles and responsibilities for various tasks or activities. RACI stands for:
- Responsible: The person(s) who do the work to complete the task.
- Accountable: The person who is ultimately answerable for the correct and thorough task completion. Only one person can be accountable for a task.
- Consulted: The person(s) who need to be consulted before a decision or task is completed. They provide input and feedback.
- Informed: The person(s) who need to be kept updated on the progress and outcome of the task. They do not actively participate but need to be aware.
Using a RACI matrix ensures that everyone knows their role, reduces confusion, and improves collaboration.
Purpose of this Free Interactive RACI Table Tool
This tool provides a simple and interactive way to create and manage RACI matrices. You can define tasks, identify stakeholders, and assign RACI roles to ensure clarity and accountability within your projects or processes. You can also easily export the created matrix for sharing or documentation.

Using the RACI Matrix Tool for Project Management
- Setting the Title:
- Click on the title “RACI Matrix” at the top of the page.
- The title area will become editable. Type in your desired title for the matrix (e.g., “Project X RACI Matrix”, “Process Improvement RACI”).
- Click outside the title area or press Enter to save the changes.
- Adding Tasks/Processes:
- In the “Add New Task/Process” input field, type the name of the task or process.
- Click the “Add Task” button. The task will be added as a new row in the table.
- Adding Stakeholders/Positions:
- In the “Add New Stakeholder/Position” input field, type the name of the stakeholder or position (e.g., “Headteacher”, “HR Manager”, “IT Deapartment”).
- Click the “Add Stakeholder” button. The stakeholder will be added as a new column in the table.
- Assigning RACI Roles:
- In the RACI table, each cell represents the intersection of a task and a stakeholder.
- To assign a RACI role, click on the cell. Clicking will cycle through the following options:
- (Blank): No role assigned.
- R: Responsible
- A: Accountable
- C: Consulted
- I: Informed
- Continue clicking to cycle back to a blank cell.
- Removing Tasks or Stakeholders:
- Each task and stakeholder header has a small red “X” button next to it.
- Click the “X” button to remove the corresponding task or stakeholder from the matrix.
- Editing Task Names:
- To edit a task name, click on the task name in the first column of the table.
- The task name will become editable. Type in the new name and click outside the area or press Enter to save.
- Understanding the Legend:
- The “Legend” section provides a quick reference to the meaning of each RACI role (R, A, C, I).
- Exporting the RACI Matrix:
- The tool offers three export options:
- Export to CSV: This exports the data into a comma-separated values file. You can open this file in any spreadsheet program (e.g., Microsoft Excel, Google Sheets). Note: Formatting will not be preserved in CSV export.
- Export to JPG: This exports the table as an image (JPG format). Note: this exports the table as an image, making data no longer editable.
- Export to DOC (HTML): This creates an HTML file that can be opened in Microsoft Word or other word processors. After opening the HTML file, you will need to save it as a .doc or .docx file within Word. The exported file will have basic styling to be compatible with Word. There are additional steps required.
- The tool offers three export options:
Export Instructions (For DOC):
1. Click the “Export to DOC (HTML)” button.
2. A file named raci_matrix.html will be downloaded.
3. Open the raci_matrix.html file in Microsoft Word (or a similar word processor).
4. In Word, go to “File” -> “Save As” and choose the “.doc” or “.docx” format to save the file as a true Word document.
Tips and Best Practices
- Accountability: Ensure that each task has only one accountable person.
- Collaboration: Involve stakeholders in the creation of the RACI matrix to ensure buy-in and accuracy.
- Review and Update: Regularly review and update the RACI matrix as projects evolve or processes change.
- Communication: Communicate the RACI matrix clearly to all stakeholders.
